Terms and conditions
The plain version of how we work together. If we have signed an engagement letter with you, that letter comes first — this fills in the rest.
Who we are
Accounting Café CC, registration number 2009/222960/23, an accounting practice in South Africa. "We" and "us" mean the practice. "You" means the person or business we do the work for.
What we do
Accounting, taxation, payroll, secretarial work, independent reviews, valuations, financial modelling and system training. Your engagement letter says exactly which of these we do for you, and how often.
What we need from you
- Complete and correct information, by the date we ask for it.
- Someone we can reach when we have a question.
- A heads-up when something changes — a new bank account, a new director, a business bought, started or closed.
Your records stay yours and stay your responsibility. We work from what you give us, and we do not audit it unless you have asked us to.
Deadlines
We meet SARS and CIPC deadlines when we have what we need in time. If information reaches us late, a deadline can be missed, and any penalty or interest charged for being late is for your account.
Fees and payment
Your fees are set out in your engagement letter or on your invoice. Monthly services are invoiced monthly; once-off work is invoiced as agreed. An invoice is due by the date on it.
You can pay by card or EFT through PayFast, our payment provider. Card payments happen on PayFast's own secure pages — we never see or keep your card number.
If an account stays unpaid we may pause your work, but never without telling you in writing first.
Your information
We keep your information to do your work and because the law requires records to be kept. We do not sell it. We share it only where the work needs it — SARS or CIPC, for example — or where the law requires it. Our PAIA manual sets out what we hold and how to ask for it.
Our work
We belong to the professional bodies shown on our home page and work to their standards. We do your work with reasonable care and skill. Advice fits your situation at the time we give it; tax law changes, so ask us again before relying on older advice.
Where our responsibility ends
We are responsible for our own work. We are not responsible for loss caused by information that was wrong or late, by decisions taken without asking us, or for indirect losses such as lost profit. Except where the law does not allow it, what we owe for any piece of work is limited to the fees you paid us for that work in the twelve months before the problem arose. Nothing here limits responsibility for fraud, or for anything the law says cannot be limited.
Ending the arrangement
Either of us can end it with one calendar month's written notice. Fees for work already done stay payable, and a retainer already paid is not refunded — see refunds and cancellations. We hand back your records and give your next accountant what they need.
This website
The words, pictures and tools on this site are ours. The free document tools are offered as they are: they work on your file on our own server, and the file is not kept afterwards. The deadline dates we show are a guide — your own dates are the ones in your engagement letter.
Changes to these terms
We update them from time to time. The current version is always on this page, with the date it last changed.
The law that applies
South African law applies, and the South African courts have jurisdiction.
